Job objectives and responsibilities

  • To support the Engineering Manager with a lead focus on the accounts CAFM system ( maximo ) ensuring all task updates are accurate and a true reflection of current progress
  • Support the Mitie Maintenance team with day to day service delivery ensuring that administration tasks are up to date and any delays are minimised
  • Ensure the site is compliant by supporting the compliance manager
  • Track work order SLA’s to ensure KPI risk is minimised
  • This position will be contracted to work 7am-3pm Monday to Friday.

Main duties

  • Daily updates to the site CAFM system ensuring all updates , log notes , closures and assignments are accurate with evidence provided . This will include persuing engineers and contractors to ensure tasks are ciompleted on time and the correct evidence is captured.
  • Ensure log updates and delay requests are submitted whilst managing the relating SLA
  • Raising purchase orders and managing tracking of such spreadsheet in line with commercial principles
  • Running daily open jobs reports for both ppm and reactive works ensuring all parties assigned works are aware of outstanding tasks
  • Attend Engineering meetings to take notes , minutes and provide post meeting updates
  • Ensuring all filing of certification , log books , engineers time sheets / work record sheets are captured and filled correctly
  • To schedule all reactive and planned works to appropriate resource, paying attention to location, expertise and response targets.
  • To accurately record all job related information on the appropriate systems.
  • To ensure that the engineers days are optimised to drive maximum productivity from the team.
  • Ensure all jobs marked an incomplete by engineers are followed up and reallocated as appropriate.
  • Monitor engineers activity and respond to issues as required.
  • Arrange third party attendance where required, raising appropriate Purchase Orders and Work orders. Requests and obtaining required completion information.
  • Ensure all jobs are completed within the required response times and costs.
  • Chase for paperwork following completion of works to ensure Statutory documentation is kept up to date.
  • Deal with communications in a professional and prompt manner.
  • Ensure non productive time is accounted for on system.
  • Escalate issues with specific jobs, clients or engineers promptly.
  • Ensure full audit trails are maintained and evidenced where required.
  • Follow Group and company policies and procedures, at all times.
  • Report any apparent deficiencies in systems of work or equipment provided that may result in failure of service delivery, or risk to health and safety, or the environment.
  • Use all work equipment and personal PPE properly and in accordance with training received.
  • Report any issues or training needs to your supervisor or Line manager.
  • To assist Mitie Commercial with the GRN process to ensure all invoices are paid on time.

What we are looking for

  • Have experience working within a service delivery or contact centre.
  • Possess strong Maximo and IT skills
  • Demonstrate a high level of communication skills with the ability to provide detailed information and advice in a clear and positive manner.
  • Have the ability to interact and communicate as appropriate with their audience, which will encompass colleagues, engineers, contract and performance managers and third party suppliers.
  • Work effectively under pressure within a busy and diverse environment.
  • Basic appreciation of M&E systems
  • Show a creative approach to analysing and solving problems using technology and reported information.

    Person Specification

    • Previous cafam experience essential
    • BPSS security clearance. Essential that this is atainable
    • Must have at least 5 years experience of an m&e administration position
    • Must be i.t literate
    • GCSE a-c in English language
    • GCSE a-c in Mathematics
    • NEC3 contract experience preferred
    • Must be willing to learn and develop new skills
