Job Description:

We are looking for an Administrative Assistant to join our team! In this role you will provide a broad range of basic to complex level administrative process and data support services to the Director Corporate Reputation & Strategy, Director ESG & Public Policy, the Community & Indigenous Engagement (CIE) leadership team as well as the Manager for Corporate Citizenship. This includes collation, analysis and reporting of business metrics in support of department goals and objectives. The role is also responsible for supporting contracts, invoicing and payments for the Calgary-based Public Affairs, Communications & Sustainability team.

Job Responsibilities:

  • Provide support for Indigenous Awareness Training.
  • Gathering, inputting, and tracking data for a variety of purposes including PACS reputation and strategy KPI’s.
  • Provide general administrative duties including drafting correspondence, presentations and spreadsheets, manage electronic calendars, book travel arrangements, prepare electronic expense accounts for approval, time sheet data entry, etc.
  • Assist professional and technical team members with specialized administrative needs including organizing and maintaining team specific documentation processes through data input, verification and filing, as well as electronic team and centralized databases.
  • Receive, process and track invoices and payments, including cheque requests and delivery.
  • Budget tracking for the Reputation Program and other programs as required.
  • Coordinate meetings and events, including large external/offsite events.

Job Requirements:

  • Administrative Certification with coursework on spreadsheet/database management and programming, accounting and business math, and/or business communications considered an asset.
  • Proficient in Oracle Cloud (invoicing and contracts).
  • Minimum of three years of directly related administrative experience.
  • Ability to work independently, meet tight deadlines and demonstrate strong attention to detail.
  • Experience in records management and reporting experience (both regulatory and financial).
  • Experience working with databases (i.e., company databases, enterprise structure and using standard operating procedures).
  • Excellent time management and organizational skills with the ability to support multiple partners by efficiently prioritizing workload.
  • Strong proficiency of Microsoft Office Suite software including Outlook, Excel, SharePoint and Teams.
